JOB DESCRIPTION
Job Duties:
Scheduling, Meetings & Travel
Manages complex calendars for Senior Managing Directors and department leaders, proactively scheduling meetings, resolving conflicts, and coordinating across multiple time zones and stakeholders.
Prepares leaders for upcoming meetings by compiling materials, summarizing objectives, and ensuring all participants have what they need.
Coordinates travel arrangements, including flights, hotels, car service, and itineraries, while handling changes as needed and submittingtimely expense reports.
Communications & Materials
Drafts, edits, and finalizes internal and external communications, including presentations, proposals, emails, and memos.
Leverages tools like CoPilot or similar AI platforms to create polished outputs (e.g., charts, decks, briefing documents) with limited direction.
Ensures communications align with Greystar brand and tone, and are formatted for clarity and impact.
Project & Operational Support
Supports project coordination by tracking deliverables, preparing leaders for decision points, and surfacing relevant context in advance.
Facilitates effective communication and collaboration across teams by ensuring roles, responsibilities, and timelines are clear.
Completes administrative and financial processes such as budget tracking, invoice reconciliation, HR documentation, and reporting.
Cross-Team Coordination
Acts as a key liaison between Senior Managing Directors and other executives, team members, and external stakeholders.
Disseminates key updates across internal and external groups with clarity and professionalism.
Coordinates cross-functional logistics for special projects, working sessions, team offsites, and leadership forums.
Knowledge, Skills & Abilities:
5+ years' experience in a similar or related role.
Executive-Level Communication:Proven ability to communicate with clarity, professionalism, and discretion across all channels, serving as a trusted representative of Senior Managing Directors. Comfortable acting as the first point of contact for internal team members, external stakeholders, and VIP guests. Able to navigate sensitive topics with diplomacy and maintain confidentiality at all times.
Tech & AI Fluency & Digital Agility: High proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint), Teams, and cloud-based platforms for document creation, scheduling, and collaboration. Adept at using AI tools, calendar automation, and travel platforms to streamline tasks and manage logistics across multiple time zones.
Content Creation & Document Management:
Skilled in preparing polished presentations, reports, and business correspondence tailored to executive audiences. Maintains organized, accessible files and records for internal use, leadership reviews, and external distribution.Client & Stakeholder Engagement:
Strong interpersonal and service-oriented skills to support senior leaders in interactions with clients, board members, partners, and other stakeholders. Able to de-escalate conflict, build trust, and reflect the brand’s values in every interaction.Project Coordination & Operational Rigor:
Demonstrated strength in managing multiple priorities, coordinating cross-functional workstreams, and executing high-profile meetings and events. Thrives in fast-paced environments and maintains poise under pressure.Business Acumen & Financial Literacy:
Comfortable working with budgets, expense reports, and basic financial documents. Able to review and reconcile data with attention to accuracy and detail.Experience & Judgment:
Track record of supporting senior executives in a corporate environment, with the professionalism, judgment, and initiative required to operate with limited direction.

Additional Compensation:
Many factors go into determining employee pay within the posted range including business requirements, prior experience, current skills and geographical location.
Corporate Positions: In addition to the base salary, this role may be eligible to participate in a quarterly or annual bonus program based on individual and company performance.
Onsite Property Positions: In addition to the base salary, this role may be eligible to participate in weekly, monthly, and/or quarterly bonus programs.
